Taulia brought 165 team members from the United States, Europe, and Asia to Lisbon for a three-day Go-to-Market Kickoff focused on learning, connection, and alignment. Whoa partnered with Taulia for the fourth time, building on previous experience to ensure the program ran smoothly across venues, vendors, and time zones.

The goal was simple: create a steady, well-paced experience that let everyone focus on the program without distraction.

International programs of this scale require careful coordination. Our role was to bring clarity to the logistics, keeping the agenda flowing and every detail handled.


Scope of Work

  • Sourced and secured the host hotel and supporting venues in Lisbon

  • Built and managed the master planning timeline across time zones

  • Coordinated local vendors and AV production teams

  • Managed third-party vendors for team-building activities

  • Managed rooming lists and attendee logistics

  • Managed the run of show, keeping each session on schedule

Execution Highlights

  • Set internal deadlines ahead of Lisbon time zones to keep vendors on track without pressure

  • Quickly switched from buses to Ubers for off-site reception during heavy rain, keeping everyone safe and on schedule

  • Resolved hotel rooming and logistical issues within minutes through strong vendor relationships

  • Managed the run of show, including managing the breakout space delegation and setup and coordinated last minute changes on-site as needed

  • Coordinated engaging team-building experiences, including toy-making, a city-wide treasure hunt, and an eco-car challenge

Outcomes

  • Brought a globally distributed team into one room with clarity and structure

  • Allowed attendees to focus fully on the program
